How to Assign Roles to User Profiles
When an employee profile is created, the user is automatically given the Employee role. Additional roles can be assigned as needed to reflect the responsibilities of the user.
1. Assigning Roles to Users
- Open the user's profile.
2. Navigate to the 'Roles' tab.
3. Select additional roles from the dropdown menu.
4. If the user does not require the Employee role, it can be removed after assigning at least one other role.
5. Click 'Save' at the bottom to apply changes.
6. To delete a role, check the box beside the role and click 'Delete'.
2. Role Descriptions
Accounting
Accounting users can import employee and timesheet data, and export completed timesheets to payroll or accounting. They can also manage charge codes, pay types, tasks, classes, business rules, and leave. If assigned over a group, their visibility is limited to employees in that group.
AdManager
Similar to Admin, but limited to managing employees, groups, clients, and running reports.
Admin
Administrators can manage employees, groups, clients, email notifications, run reports, and upload company documents. When combined with the AdManager role, some functions may be restricted.
Client
Allows users to review, print, and approve timesheets. They will only see hours worked for authorized charges in their group. Intended for third-party customers.
Employee
Provides access to timesheets, leave balances, schedules, leave requests, pay stubs, W2s, and password settings. This is the default role and can be removed if another role is assigned.
HumanResource
Manages employee data, benefits, unions, security, company titles, EEOC, and compensation info. Visibility and notifications are restricted to assigned groups.
News Editor
Allows posting or updating homepage messages including links, text, or HTML content. Visible to all users.
Reporter
Grants access to view and export standard system reports. Visibility is limited to assigned groups.
Scheduler
Allows creation of employee schedules, holiday schedules, and comparison reports for scheduled vs actual time. Visibility is limited to assigned groups.
Supervisor
Can open, edit, and approve timesheets, import schedules, manage leave requests, and assign projects. Can be combined with other roles but will be limited if also assigned Timekeeper. Group-limited visibility.
Timekeeper
Same permissions as Supervisor, but cannot approve timesheets. Receives notifications for their group only.
