New Employee Setup from Import Files
1. Create Employee Profile with Employee Import
2. Assign to Group(s) with Groups to Employees Import
3. Assign Authorized Charge(s) with Authorized Charge Import
4. [Optional] Assign Task(s) with Group Tasks Import
5. [Optional] Assign to Leave Classes with Leave Balance Import
6. [Optional] Add to Holiday Schedule
7. [Optional] Add to Leave Prepopulation
1. Go to Accounting > Import|Export > Employees
a. Click the white box with the blue question mark for the import file. Fill out the required fields, save as a .CSV, browse for the file and submit. You will get a confirmation message including the number of new records. These can be reviewed at Administrator > Employee Management.
b. Fields that are required are marked with ** all others are optional. File must be saved as a .CSV.
c. If the import file is not available, open Excel and create the spreadsheet.
2. Go to Accounting > Import|Export > Groups to Employees
a. Click the white box with the blue question mark for the import file. Fill out the required fields, save as a .CSV, browse for the file and submit. You will get a confirmation message including the number of new records.
b. Fields that are required are marked with ** all others are optional. File must be saved as a .CSV.
c. If the import file is not available, open Excel and create the spreadsheet.
Remember: an employee needs to be in a group to have access to their charge codes but does not have to be assigned all the charge codes available.
3. Assigning authorized charges (charge code/pay type combination) can be done via import or on the front end of the site. To import:
a. Click the white box with the blue question mark for the import file. Fill out the required fields, save as a .CSV, browse for the file and submit. You will get a confirmation message including the number of new records.
b. Fields that are required are marked with ** all others are optional. File must be saved as a .CSV.
c. If the import file is not available, open Excel and create the spreadsheet.
4. [Optional] Tasks are not a required field on the timesheet but if they are used, it’s easy to import them. Go to Accounting > Import|Export > Groups Task
a. Click the white box with the blue question mark for the import file. Fill out the required fields, save as a .CSV, browse for the file and submit. You will get a confirmation message including the number of new records.
b. Fields that are required are marked with ** all others are optional. File must be saved as a .CSV.
c. If the import file is not available, open Excel and create the spreadsheet.
5. [Optional] Assign Employee to Leave Management - Go to Accounting > Import|Export > Leave Balance
a. Click the white box with the blue question mark for the import file. Fill out the required fields, save as a .CSV, browse for the file and submit. You will get a confirmation message including the number of new records.
b. Fields that are required are marked with ** all others are optional. File must be saved as a .CSV.
c. If the import file is not available, open Excel and create the spreadsheet.
6. [Optional] Add to Holiday Schedule [This step cannot be done via import.]
a. Scheduling > Holiday Schedules
b. On the left side under “Holiday Management” choose the holiday schedule for the new employee
c. On the right side under “Assign Employees to Holiday Schedule” choose the employee and “Assign”
7. [Optional] Add to Timesheet Prepopulation [This step cannot be done via import.]
a. Scheduling > Timesheet Prepopulation
b. Select the scheme name needed (usually just one but there might be more) and “Assign to Employee”
c. Select the group and “Show Assigned Employees”
d. From Employee Options, choose the arrow on the right of the box and select the new employee
