Exporting QuickBooks Data to Import Into TeamKeeper

Exporting QuickBooks data for eTSMS setup

 

In order to import the data from QB to eTSMS, please export the data sets as they pertain to your company.  The class and service item fields are optional.

 

Exporting Employee Data

 

  1. Open QuickBooks
  2. Navigate to Reports > List > Employee Contact List. 
  3. Click on the Customize Report icon and select the following fields:

(highlighted fields are required) (Select the Filters tab and ensure you are only selecting Active status)

*Mr/Ms/…

*First Name

*M.I.

*Last Name

*Cellular

*Phone

*Alt. Phone

*Pager

*SS No. or Account No.

*City

*Street1

*Street2

*State

*Zip

*Email (highly recommended as it is used for notifications in GHG)

*Gender

*Date of Hire

 

 

 

  1. Click the Excel icon to export the file to your PC in Microsoft Excel format
  2. Select Create New Worksheet

 

  1. Click Export and an a new window will open with the employee list as an Excel page
  2. Save the Excel Employee List to your computer to be emailed at the end of this process along with the other data elements

 

Exporting Payroll Items

 

  1. Navigate to Reports > List > Payroll Item Listing.
  2. Click on the Modify Report icon and ONLY select the following fields:

*Items

*Type

  1. Click the Excel icon to export the file to your PC in Microsoft Excel format
  2. Select Send report to a new Excel spreadsheet
  3. Click OK and an a new window will open with the employee list as an Excel page
  4. Save the Excel Payroll Item Listing to your computer to be emailed at the end of this process along with the other data elements

 

Exporting Customer: Jobs

 

  1. Navigate to Reports > List > Customer Contact List.
  2. Click on the Modify Report icon and ONLY select the following field:

*Customer

  1. Click the Excel icon to export the file to your PC in Microsoft Excel format
  2. Select Send report to a new Excel spreadsheet
  3. Click OK and an a new window will open with the employee list as an Excel page
  4. Save the Excel Customer List to your computer to be emailed at the end of this process along with the other data elements

 

Exporting Service Items (optional if not used in QuickBooks Timesheet)

 

  1. Navigate to Reports > List > Item Listing.
  2. Click on the Modify Report icon and ONLY select the following fields:

*Item

*Type

  1. Click the Excel icon to export the file to your PC in Microsoft Excel format
  2. Select Send report to a new Excel spreadsheet
  3. Click OK and an a new window will open with the employee list as an Excel page
  4. Save the Excel Item Listing to your computer to be emailed at the end of this process along with the other data elements

 

Exporting Classes (optional if not used in QuickBooks Timesheet)

 

  1. Navigate File > Utilities > Export > Lists to IIF Files...
  2. Select ONLY the box for Class List.
  3. Save the IIF file to your computer to be emailed at the end of this process along with the other data elements.

 

Exporting Vendors (optional only needed if the Vendor will charge hour to import to QuickBooks Timesheet)

 

  1. Navigate to Reports > List > Vendor Contact List.
  2. Click on the Modify Report icon and ONLY select the following field:

*Vendor

  1. Click the Excel icon to export the file to your PC in Microsoft Excel format
  2. Select Send report to a new Excel spreadsheet
  3. Click OK and an a new window will open with the employee list as an Excel page
  4. Save the Excel Customer List to your computer to be emailed at the end of this process along with the other data elements

 

 

Emailing saved data files to GHG

 

  1. Navigate to the specified folder (where you saved each of the data elements)
  2. Open email Client
  3. Attach items saved from steps above (Employee, Payroll Items, Customer: Jobs, Items, & Classes)
  4. Send to: eems_setup@ghg.com
  5. You will be notified if any additional data is required.

 

Additional Information needed for setup

 

  1. In order to have a successful export, all middle initials for employees must have consistent formatting.  You will need to let us know if the middle initial for each employee has a period or does not.  If your employee list has both, then you will need to select one format or the other and change that data in QuickBooks before exporting from eTSMS to QuickBooks.

 

 

***If you cannot locate the IIF Files (payroll items, customer jobs, etc)- please navigate to:

    1. File > Utilities > Export > List to IIF Files
