A guide to setting up prepopulation schemes for leave requests, holidays and scheduled in/out times. *Note Timesheet Prepopulation works with other menus such as Schedule Management, Holiday Schedule, and/or Leave Requests for employees.
The Timesheet prepopulation configuration allows for auto populating schedules, approved leaves, and holiday calendar charges on the days of the timesheet needed without employee intervention.
In order to configure the options, you will need the Scheduling Role Assigned to access the Scheduling tab.
Navigate to the scheduling tab and click the "Timesheet Prepopulation" option. This will take you to the page and menu to create "Schemes" which allow for you to choose from the following features to enable population for as well as the employees it should apply to. To start, click the orange button:
Name of scheme: Differentiating name used to identify its purpose
Employee Assignment: Selected employees through filtering to isolate qualifying employees
In/Out(s): Schedule in schedule management required
All Leaves: Refers to approved leave requests (not including Holidays)
Holiday Schedule: Refers to a created holiday schedule
Once you name your scheme, check the corresponding boxes for each option you would like populated for it and click "update" to save and create the scheme.
From there, you are ready to assign the scheme to employee by clicking the underlined button, where a second part of the page will reveal itself:
The left hand panel of the page allow for you to filter for employees based on a group selection:
Selected Groups (Select All, Deselect All, or choose in the "Select a Group" section to choose one or multiple groups).
Once selected, click the button to reveal the filtered list of employees on the right hand panel.
The panel will reveal which employee(s) if any were already assigned and will have a drop-down arrow, used for finding and assigning other employees not already assigned. To do so, simply click on the employee's name to highlight them and the button to save them to the list. To remove an employee, you can click on their names in the assigned list to deselect them and save your changes again.
This setup can be used in conjunction with leave requests for employees as well as populating Holiday Schedules (see below for instructions):
